Quotations, method questions, and sample submission

Arcadia Diagnostics performs analytical testing of client-submitted materials — powders, solutions, and vials — for research and quality-control purposes.

Arcadia Diagnostics is not a clinical laboratory. We do not test human or animal specimens and we do not provide medical, diagnostic, or therapeutic services.

Before you write

A useful quotation depends on a small number of facts about the material and what you need determined. The more of the list below you can supply in your first message, the fewer rounds it takes to get you a scope, a price, and a schedule.

If you are not sure which tests answer your question, say what you are trying to establish — identity, chromatographic purity, how much material is actually in the vial, contamination — and we will propose a panel and explain what each test does and does not show.

What to include in an inquiry

Six items cover most requests

Compound or material

The name as labeled. For peptides, the full sequence and any modifications (N-terminal acetylation, C-terminal amidation, cyclization, conjugation) and the salt form if known. For small molecules, a CAS number or structure. If the identity is uncertain or disputed, say so — that changes the method.

Required

Physical format

Lyophilized powder, crystalline solid, oil, aqueous solution, or suspension. Container type and closure. Whether the unit is sealed, and whether the vial can be opened destructively.

Quantity available

Total mass or volume available for testing, the number of units, and the number of distinct lots. Some determinations — amino acid analysis, quantitative NMR, elemental impurities — have real material requirements, and a panel that fits 50 mg does not fit 2 mg.

Tests requested

For example: RP-HPLC purity, LC-MS identity, net peptide content, Karl Fischer water, counterion, residual solvents, elemental impurities, bacterial endotoxin, adulterant screening. If you do not know, describe the question instead of the technique.

Turnaround needed

Your actual decision date, not a general preference. Some assays have hard physical floors — a 20 to 24 hour acid hydrolysis cannot be expedited — and knowing the constraint early lets us tell you what is and is not achievable.

Reporting and handling notes

Whether results will be published or shared with third parties, whether you want the certificate available through the COA lookup, any known or suspected hazards, storage and shipping temperature requirements, and any acceptance criteria you want results evaluated against.

How an inquiry proceeds

1. Inquiry

You send the details above by email. We reply with clarifying questions if the scope is ambiguous.

2. Scope and quotation

We confirm which determinations are appropriate, what each will and will not establish, the minimum sample quantity, and the price and schedule. 3. Agreement

Testing is performed under a written services agreement. Submitting a sample constitutes acceptance of our Terms of Service.

4. Submission instructions

Once scope is agreed, we issue written submission instructions: the accession number to write on the package, the exact shipping address, packaging and temperature requirements, and the paperwork to enclose.

5. Shipment and receipt

You ship against those instructions. We record condition on receipt — seal state, temperature, container integrity, quantity — and confirm receipt in writing.

6. Analysis and report

Work proceeds on the agreed scope. The report states the methods, the conditions, the results with units, the reporting limits, and what was not determined.

What we do not accept

Human or animal biological specimens. We do not accept urine, blood, serum, plasma, saliva, hair, tissue, or any other biological specimen from a person or animal, for any purpose. This is a fixed intake policy, not a capacity limitation. Testing human specimens for a health-related question falls under clinical laboratory regulation, which does not apply to the analysis of materials and which we are not set up for.

Controlled substances, absent prior written authorization. Do not ship a controlled substance, controlled-substance analog, or listed chemical without express written pre-authorization from us in advance of shipment. Mailing controlled substances is a federal offense for the sender.

PLACEHOLDER: controlled-substance intake policy and DEA analytical laboratory registration number plus state controlled-substance license — or state plainly that the laboratory does not accept controlled substances of any schedule. Counsel must confirm this before publication.

Samples we cannot handle safely. Materials that are pyrophoric, explosive, radioactive, or otherwise outside our handling capability. Declare hazards in the inquiry, not on the package.

A note on email

Email is not a secure channel. Do not send anything through it that you would not want intercepted. If a submission requires confidential handling beyond our standard practice, say so in the first message and we will agree an alternative before you send details.

All client information, sample identities, and results are treated as confidential. Nothing is published without your written consent.

Do not ship a sample before you receive submission instructions

Unannounced packages cannot be accepted. A sample that arrives without an accession number, without agreed scope, or without a declaration of contents cannot be logged into custody, cannot be tied to a request, and cannot be reported on.

Material that arrives unannounced may be quarantined, returned at your cost, or disposed of. Where an undeclared shipment appears to be unlawful, we are obliged to act accordingly.

Wait for written submission instructions. They are issued within the normal course of a quotation and they take minutes to read.
